GIANT SCHNAUZER CLUB OF AMERICA
NATIONAL AND REGIONAL SPECIALTY
ACCOUNTING PROCEDURES
The member in charge of the specialty
funds (treasurer, show chairman) should open a checking account for
the specialty in the name of GSCA Specialty. Contact the GSCA
treasurer for the FIN and a copy of the Articles of Incorporation
(the banks require this). The club Treasurer will have internet
access to monitor the account. It is a good idea to get duplicate
checks when you order the checks for the account – this will save on
having to take copies of each check written. You can attach the
duplicate check (or copy) to the invoice paid.
Make copies of all checks received and
list them on the deposit record – example is enclosed – it is an
excel spreadsheet that you can add books to do all deposits in one
file, contact the GSCA treasurer for a copy of the excel file. If
you do not have access to a computer or excel you can do a hand
sheet in the same format, however it is strongly advised you have a
treasurer well versed with excel. This will help with communicating
to the committee via email rather than U.S. mail. Attach the copies
of the deposited checks to the deposit record along with the deposit
receipt. The deposit record helps keep track what the monies were
received for, donations, trophies, merchandise sales etc.
Make a spreadsheet either by hand or in
excel for income and expenses and post each deposit for the
different income accounts and expense items for checks written.
Total all income and expenses and the
net should equal what is in the checking account.
Send all deposit records, paid invoices,
canceled checks (if provided by the bank) and all bank statements
and the income and expense sheets to the GSCA treasurer along with a
check for the net profit for the specialty.
All accounting must be closed out and
forwarded to the GSCA treasurer within 6 weeks of the specialty.
Contact the GSCA treasurer for sample
spreadsheets.
By my signature below, I agree to
follow the above Specialty Accounting procedures.
